Contract days and weather days

The contract-day ledger counts the working days charged against a contract, records weather and other excepted days, and forecasts where the project will land.

Many contracts allow a number of working days, not a finish date. The contract-day ledger keeps that count for you: every working day charges itself, and you log the days that shouldn't count, such as a rain day, with a note. That day-by-day record is what a time-extension request needs.

Where to find it

  • Update progress…, then Contract-day ledger…;
  • the Reports page: Contract-day ledger, then Open contract-day ledger….

The dialog is titled Contract-day ledger.

Setting it up

Enter the contract's Working days allowed, any extension days granted (+ extensions) and the first chargeable date (from; it defaults to the project start). From then on, every working day on the project's calendar, through today, counts as charged unless you log an exception.

The summary line

The line above the calendar keeps the score, for example Charged 42 of 120 working days (110 + 10 ext) — 78 remaining. Then the forecast: how many more working days the current schedule needs, and whether that lands over, exactly on, or inside contract time. Then the days not charged, by reason.

Logging a weather day

Click any day in the month grid (‹ and › change the month) and choose why it isn't charged: Weather, Suspension, Holiday or Other, with a note such as "1.2in rain — grading suspended". Choose Charged (no exception) to take an entry back out.

Logging a day is pure contract accounting: it doesn't move the schedule. If the day should also stop work in the plan, tick Mark as a non-working day. That adds the date to the project calendar and reschedules the remaining work; removing the entry clears that calendar change too. A day you log always reports under its reason, even if someone changed the calendar since.

What it moves

  • Charging stops at the scheduled finish once every task is 100% complete: a finished project stops using up days.
  • The schedule update narrative's "Delays, weather & upcoming work" section reports days charged against days allowed, the forecast, and the weather and suspension days logged this period.
  • On the Projects page, the This week pane reads N of M contract days charged, adding forecast N days over contract time when the forecast runs over. The project's row carries an over contract pill.

Print ledger… produces the day-by-day record on letterhead: date, running day number, status and note, the backup for a time-extension request. Idle weekends without an entry are left out.

Who can use it

Anyone who can edit the project. Field accounts never see contract time. See Who can see and do what.

Good to know

  • The ledger counts working days on the project's own calendar; see Calendar standards for company holidays and shutdowns.
  • A note on a logged day can be up to 300 characters.
