Run a training course

Turn training on, build a course from a template project, give each student a copy, follow their work and check it against an answer key, then reset, archive or delete it.

By the end of this workflow each student in your class has their own copy of a practice project to schedule in, the whole class shares one board, and you can see how close each student's work is to your answer key.

Who does this

A company Admin, or partner staff for the companies their partner looks after. Editors and Field accounts can't open Training. See Who can see and do what.

Before you start

  • The template. A project in your company that each student gets a copy of: the exercise.
  • The answer key, if you want the check. Build it from the template, with Make a copy… on the template and then complete the copy. The check matches tasks by the identity they were copied with, so a key built separately scores every student 0%. The key has to exist before you create the course: it can't be added later.
  • Licenses. Each new student account uses a license, the same as any other account. If they don't all fit, the course isn't created.

Steps

  1. Turn training on. On the Company page, open Organization. The Training card explains what training adds; press Enable training. A Training tab appears after Activity.
  2. Create the course. In Training, press + New course…. Fill in the Name, pick the Template and, optionally, the Answer key. Set New students to the number of new accounts to make, and give them a Class password of at least 8 characters. To bring back students from an earlier course, tick them under Re-use existing students. Press Create.
  1. Hand out the copies. Ganttry asks whether to hand out copies to every student now. Choose OK and the course page opens with a copy for each student, plus the shared class board. If you choose Cancel, press Hand out copies on the course page when you are ready.
  2. Give out the sign-ins. New students are accounts named Student 01, Student 02 and so on, numbered on from the highest student account your company still has, all with the class password. Their sign-in emails are under Users & access, in the collapsed list of generic students in the Users card; the course page doesn't show them. Students sign in on the ordinary sign-in page and find a notification that their workspace is ready.
  3. Follow the class. The course page lists each student with their copy, Progress (percent complete reported), Schedule checks (the schedule quality score) and Check (the share of the answer key's tasks the student has exactly right). Hover the check to see up to five tasks that differ. Click a student's copy to open it in the editor.
  1. Teach from the class board. Open class board opens the project the whole class shares. Choose Tools ▾ → Present to everyone viewing… and the students' screens follow your scrolling and zoom (see Getting around).
  2. Start an exercise again. Reset all…, or Reset… on one student, replaces the copy with a fresh copy of the template as it is now. It asks first: the copy as it stands isn't saved first, though its saved versions and automatic saves already in History stay.
  3. Between courses. Change student passwords… in the Training section sets a new password for the students you tick and signs them out everywhere.
  4. Archive the course. Archive… asks first. Students can still report progress in the Work view, but can no longer change their copies in the Schedule view, and the copies are hidden from Projects and Home. Accounts and saved work are kept. Unarchive puts everything back.
  5. Delete the course. Delete course… asks first, then deletes every student copy, the class board, and the student accounts that belong to nothing else. It can't be undone. The template and the answer key stay.

Good to know

  • A course is fixed once created. Its name, template, answer key and students can't change, and no control adds or removes a student. For a different class list, create a new course; it can re-use existing student accounts.
  • Handing out again only fills gaps. Hand out copies gives a copy to any student who has none, and never updates an existing copy. Use reset for that. Reset leaves the class board alone.
  • What students see. Only their own copy and the class board. They edit their copy, but can't delete it, share it, publish it or present on the class board.
  • Forgotten passwords. A student account has no mailbox, so students can't reset their own password. Use Set new password… on their row in Users & access, or Change student passwords….
  • Names. Rename… beside a student changes the name shown in this course only. An Admin can change the account's name with Edit… in Users & access; its email never changes.
  • Turning training off. Disable training asks first and deletes nothing. The courses can't be managed until training is back on, but students keep signing in and working in their copies.
  • Template and key while the course exists. Only an Admin can share them or preview their crew links, and nobody can publish them. If the template is deleted, the course can no longer hand out or reset copies; create a new course from another template.
