Training
Training runs instructor-led courses, where each student practices in their own copy of a template project and the trainer follows every copy.
Training runs instructor-led courses. Each student gets their own copy of a template project to practice in, the whole class shares one class board, and the trainer follows every copy from the course page — progress, schedule checks and, with an answer key, how close each copy is to the right answer. The steps are in Run a training course; this page explains how it works.
Where to find it
Company page › Training lists the company's courses, newest first, each as its name with how many students and how many copies are handed out, and Open. Open takes you to the course's own page, which is headed with the course name. A course page has no sidebar entry.
Turning training on
Training is off until a company admin turns it on. While it is off, Organization shows a Training card with Enable training, which turns it on at once: the card leaves Organization and a Training tab appears after Activity.
Disable training (on the Training tab) asks first: "Turn training off? Students keep their accounts and their copies; courses can't be managed until Training is back on." Nothing is deleted, and turning training back on brings every course back. While it is off, courses can't be managed: a course page says "Training is switched off for this company.", and a course page, New course or Change student passwords left open when training goes off says the same at its next action. Student accounts are not locked out: students can still sign in and work in their copies.
A course
A course has a name, a Template (a project of this company that every student gets a copy of), an optional Answer key (another project of this company that the copies are compared with) and its students. + New course… opens New course:
- Name (up to 120 characters), Template and Answer key (or "(none)");
- New students — how many new student accounts to make, from 0 to 500 — with a Class password (at least 8 characters) they all start with;
- Re-use existing students, offered once the company has student accounts from an earlier course.
After Create, Ganttry asks "Hand out copies to every student now?" — confirming hands them out and opens the course page; declining opens it with nothing handed out yet.
A course can't be changed once it exists — not its name, template, answer key or students. To change the class, create a new course (it can re-use the same student accounts). The answer key must exist before Create: if its project is later deleted, the course loses its key for good.
The template and the answer key stay where they are, and students can't see either. While a course uses them, only an Admin can make a view-only share link or preview crew links for them, and nobody can publish them.
Student accounts
New students are accounts named Student 01, Student 02 and so on, numbered on from the company's existing student accounts, each with a generated sign-in email that no mail can reach. They sign in on the ordinary sign-in page with that email and the class password. Their emails are listed on Users & access › Users, in the folded Generic students list.
- Each new student account uses a license; re-used accounts need no new one. If the new students don't fit in the company's licenses, the whole course is refused.
- Students can't change their own name or email. Rename… on the course page sets how a student is named in that course only.
- No email ever reaches a student, so a student can't reset a forgotten password. The trainer sets it: Change student passwords… on the Training tab sets a new password for the students you tick and signs them out everywhere — use it between courses — and Set new password… on the student's row in Users & access › Users sets one.
- Students hear about their course in the app's bell: their workspace is ready, with a link to their copy.
What a student gets
When copies are handed out, each student sees exactly two projects: their own copy and the class board. They see nothing else of the company.
- The copy is the template as it stood at hand-out, named after the course and the student. It keeps the tasks, calendars, baselines, notes and custom column values; it leaves out assignees, named people and machines, the names in coverage sets and the site address. It is never published.
- A student is an Editor on their copy and on the class board, which the whole class edits together. They can edit the Schedule, report progress, and create new projects of their own, in their own group or in the class's shared group, where the whole class sees them.
- A student can't delete their copy, make share links, preview crew links, present on the class board, publish, or open Training.
The course page
The summary line counts the students and the copies handed out, and says whether there is an answer key. The buttons are Open class board (once there is one), Hand out copies, Reset all…, Archive…, Delete course… and Refresh.
The Students table has one row per student: their name with Rename…; their copy, which opens in the editor (with who is viewing it right now); Progress, the reported percent complete; Schedule checks, the share of schedule quality checks that pass; Check (below); when it was last updated and by whom; and Reset…. The figures fill in one student at a time, for the first 40 students with copies.
The trainer can open any student's copy or the class board and work in it; the student sees the changes live. On the class board, Tools ▾ → Present to everyone viewing… makes the students' screens follow the trainer's.
Hand out copies
Hand out copies runs without asking. Every student who has no copy gets a fresh copy of the current template; a student who already has one is left alone. The first time, it also creates the class board. It re-creates a copy or a class board that was deleted, but it never refreshes an existing copy — use Reset for that.
Reset
Reset all… and a student's Reset… replace the copy with a fresh copy of the current template. Both ask first, because the student's edits are replaced and the copy as it stands is not saved first — only what is already in its History stays available, its saved versions and its automatic saves. The reset itself shows in History as a new automatic save under the trainer's name. A student who has the copy open gets the reset at once. Reset never touches the class board, students without a copy, or projects students made.
Archive
Archive… asks first. In one step it archives the course and every project in it, and turns each student's access from Editor to Field: students can't change their copies in the Schedule view any more, but they can still report progress in the Work view. Accounts and saved work are kept, and so are their licenses. Unarchive runs without asking and reverses all of it. An archived course hides Hand out copies, Reset all… and Reset….
Delete course
Delete course… asks first, on a live or an archived course. It deletes every student copy, the class board, the course's groups and any extra projects students created, and each student account with no other access — which frees their licenses. The template and the answer key are not deleted.
The check
With an answer key, the Check column compares each copy with the key, task by task, and shows the share of the key's tasks the student has exactly right: green at 100%, amber from 60%, red below. Without a key it shows "—". Hovering the figure lists up to five tasks that differ.
- Tasks are matched by their hidden identity, not by name or row, so the answer key must be built from the template — for example with Make a copy… on the template, then completing the copy. A key built separately scores 0%.
- The check grades what the student built: names, durations, work hours, predecessors, constraints and deadlines, calendars, quantities, crew and equipment, cost, notes, outline levels and custom column values. Progress isn't graded. A task the student added doesn't lower the score; a task they deleted counts as missing.
- The key is read fresh each time the course page opens, so editing the key updates the figures.
- The check is the trainer's: students don't see a score.
Who can use it
A company Admin — an Admin of the company itself — and partner staff for the companies their partner looks after. Editors, Field users, a group's own admin and students can't open Training; a link to a course shows "Training isn't available". A field-only account, including a student whose only access is an archived course, lands on My tasks instead. See Who can see and do what.
Good to know
- If a course's template is deleted, handing out or resetting copies is refused: "This course's template was deleted, so it can't hand out or reset copies. Create a new course from another template."
- Course actions appear in the company's Recent activity under Everything.
- Removing a student in Users & access isn't a way to take them off a course — it removes their access to the company.
