Report on progress, crews and equipment

Pick the report that answers your question, choose its projects and weeks, drill into the numbers, and print or export them, from one project up to fifteen.

By the end of this workflow you have the numbers you were asked for, on screen, on paper or in a spreadsheet, with a stamp saying which projects they cover and as of when.

Who does this

Project managers, schedulers and operations managers: Editors and Admins. Field accounts don't have the Reports page. See Who can see and do what.

Before you start

Which report answers which question

Your questionThe report
How far along is this project against the plan, area by area?Project progress
Is the schedule sound enough to submit?Schedule quality checks
What changed since the last update?Schedule update narrative
How many contract days have we used, and will we finish inside them?Contract-day ledger
What does the work cost, month by month?Cash Flow
How many people and machines do the plans call for, and where are we short?Crew & equipment demand
Who and what is booked on which project each day, and what sits idle?Resource assignments
What does each crew need over the next three weeks, by name?Crew & equipment lookahead

Crew and equipment reports explains the three crew and equipment reports. Four of the others have pages of their own: Schedule quality checks, The schedule update narrative, Contract days and weather days and Cost loading and cash flow.

Steps

  1. Open Reports. Choose Reports in the sidebar. The library on the left groups the reports under Across projects and One project. Pick one.
  2. Choose the projects. A cross-project report shows its projects as chips: + Add projects… adds more and the × on a chip removes it. To report on one of them alone, click its name and choose Only Bridge 12; The default (15 projects), at the top of + Add projects…, puts the report's own choice back. With nothing chosen, it covers every active project you can see, up to 15. A one-project report has a Project select instead.
  3. Set the view. Only the controls a report uses appear. For Crew & equipment demand: Weeks from 2 to 26, Crew or Equipment, and By project, By day or By week for the chart's columns.
  1. Read the lines above the result. The Viewing line says what you are looking at, for which projects, over which weeks, in which units. When a project is in Draft, the next line says crews see its published plan, and when it was published. For Project progress you can also pick an earlier plan: As of: The plan now ▾ lists the project's saved versions and automatic saves. Pick one, such as Plan A, and the report, its lines and its PDF are worked out on that plan, at its own data date; choose The plan now to come back. See the Reports page.
  2. Drill in. On Crew & equipment demand, click any cell with a number. Contributing tasks opens in the side pane: the projects and tasks behind it. Open in schedule opens that project in the editor, already filtered to those tasks. ‹ Back to report returns you to the cell.
  3. Take it with you. Use the report's own buttons: PDF…, Excel… or Copy. Copy gives you a plain-text summary built for a text message from a site with no signal.
  1. The four reports that live in dialogs. Schedule quality checks, Schedule update narrative, Contract-day ledger and Cash Flow each show one button, such as Open schedule quality checks…. It opens the chosen project in the editor with that dialog on top. Closing the dialog leaves you in the editor; Reports in the sidebar brings you back.

Start from the Projects page

  1. On the Projects page, tick up to 15 projects and press Report on selected projects: they open in the cross-project report you used last. For one project, select it and press Report on this project in the side pane to open Project progress.

One project at a glance

  1. Open the project's Dashboard tab in the top row (see the project Dashboard). It shows percent complete against plan, finish variance against the baseline, the schedule checks score and failing checks, planned against actual by area, and the cash-flow curve when tasks carry costs. Print makes a clean one-page copy.

Good to know

  • Shared crews counted once. If two tasks draw on the same crew, a demand report counts both. Join them in a coverage set and the shared people and machines count once. Select the tasks, right-click and choose Shared coverage…, or use Tools ▾ → Shared coverage…. Ungroup puts each task's own number back. Shared coverage explains the rules.
  • Booked by the day. Someone booked on People for only some of a task's days fills it only on those days, in Crew & equipment demand and Resource assignments alike. To see or change who works where each day, use People rather than a report.
  • Nothing recorded isn't zero. Where nobody entered how many of a trade or machine you have, the report says Not recorded, never 0, and draws no shortfall.
  • Late work shows separately. Tasks that should have finished before the as-of date but are not done are listed under the chart and are not counted in the totals.
  • Every copy carries its stamp. Screen, PDF, workbook and copied text all say As of the date and how many of the chosen projects are included.
  • Fifteen at most. A cross-project report covers up to 15 projects. Past that it says which were left out rather than guess.
