Invitations and password resets
How a company admin invites people with a link instead of a password, and how invite and reset links, forgotten passwords and admin resets work.
You never have to type a password for anyone. A company admin adds a person with the password left blank, and Ganttry makes a single-use invite link; the person opens it, sets their own password, and lands signed in. The same kind of link resets a forgotten password.
Where to find it
Company page › Users & access › the Users card. The add-user form sits under the table of users, and each person's row carries its own actions.
Inviting someone
- Fill in Name and Email, leave Password blank ("leave blank to create an invite link"), and pick a Role: Editor, Admin or Field.
- Under Member of, tick the company, one or more groups, or both. The company is ticked to begin with. With nothing ticked, the form says "Tick the company or at least one group under Member of."
- Press Add user. The Invite link dialog shows the link with Copy. When Ganttry has emailed the link too, it says "Invite email sent."; either way you can copy the link and send it over Teams, a text or any other way.
The link works for 7 days and only once. The person who opens it sees "Welcome," and their name, sets a password of at least 8 characters, and presses Set password & sign in. Your account covers their first day.
Until they accept, the row shows an invited badge with Re-invite (a fresh link), Edit… (correct the name or email; changing the email cancels the link already sent, so use Re-invite afterwards) and Remove. A pending invitation holds a license.
If you type a password instead of leaving it blank, the account is created with that password (at least 8 characters) and no link — give it to the person yourself.
Resetting a password
- Forgot password? on the sign-in page asks for an email address and sends a reset link to it: "If an account uses that email, we sent a password reset link. Check your inbox and spam folder." It answers the same way whether or not the address has an account.
- Reset link… on a person's row makes a reset link that works for 1 hour. The Password reset link dialog shows it to copy, and says when Ganttry has also emailed it.
- Set new password… on a person's row sets their password directly (at least 8 characters). It signs them out on all their devices and cancels their invite and reset links.
How links behave
- Every invite and reset link works once and then expires — an invite after 7 days, a reset link after 1 hour.
- Setting a password — from a link, from an admin's Set new password…, or with Change password… — cancels every other link still outstanding for that account.
- Setting a password from a link also signs the account out everywhere else, then signs the person in fresh.
- A link that has expired or was already used opens "We couldn't open this link." with Go to sign-in; ask for a new one.
- A link pasted into a chat app stays in that chat's history. Its short life and single use are the safety net, so send it to the person directly.
Other actions on a person's row
For an active user: Edit… (correct their name or email; the old address gets a notice), Set new password…, Reset link…, Disable account (it asks first, and signs them out everywhere — see Security and sign-in) or Enable account, and Remove (it asks first; their projects stay with the company, and their account is deleted if they have no other company or group access). People can change their own name and email in Profile… — see Your account.
Who can use it
Company admins, and partner staff for the companies their partner looks after. For someone who also has access outside your company, only Remove shows. See Who can see and do what.
