Crew links and itineraries
A crew link shows a project's day plan on a phone without signing in, and an itinerary link shows one person's plan across every project they are on.
Crews get the plan two ways. People with an account sign in and use Work and My tasks. Anyone else, such as a sub's foreman or a new laborer, gets a link: it opens the plan on their phone with no account and no sign-in. A crew link shows one project; an itinerary link shows one person's work across every project they are on.
On the phone and tablet
A link opens on today (a project not started yet opens on its first day), with a strip of the week's days, ‹ and ›, Today, Day or Week, and Refresh. Week is the default on a tablet or anything wider; Day is the default on a phone.
- Each day lists its tasks with their status, the crew and equipment each needs and who fills it that day, the tools each needs, the site address and the notes ticked for crews (under ON SITE).
- Days that aren't working days and have no work are skipped: dimmed in the strip, and named once in Week view, for example
No work planned: Sat Sep 26 · Sun Sep 27. A day with a note on it opens like any other. - Nothing refreshes on its own. The page reloads when you tap Refresh, or when you come back to it after half an hour. A screen left on, such as a TV in the trailer, keeps the day it opened on: tap Refresh each morning.
- The foot of every view says "Needs a connection — the printed sheet is your backup." Print crew handout at the foot prints that backup; see Crew paper.
What a crew link carries
- the plan crews were last published when the project is a Draft, the live plan otherwise, stamped
Published Sep 21, 9:00 AMorLive · updated …(see Draft and Publish); - task names, dates and status, each task's crew and equipment lines with the people and machines filling them that day, its tools, and your company's library columns (each named in the preview before you make the link);
- the site address, the whole-project note and the day notes ticked for crews;
- task notes, only when you tick Include task notes;
- never costs, attachments, checklists, the project's own custom columns or anything that identifies a record.
The address is the project's Site address from Project settings…. A project without one shows no address on screen and prints Site address not entered on paper.
A link limited to dates carries names, crews, people, tools, columns and day notes only for work inside its dates. A task outside them shows its dates without its name.
Making a crew link
Open the project, then File → Share…. The Crew links section comes right after People:
- Dates it shows: Whole project, or a window running From one date to another.
- Link expires: never, or in 7, 30 or 90 days.
- Include task notes (off unless you tick it) and Stop when the project is marked Complete.
- Preview shows the phone screen the crew will see, before anything is made.
- Create crew link, then copy the link and send it however you like.
The Share dialog's Active links list shows a project's crew links and planner views, each with Turn off. It asks first, and a phone that already has the link open stops at its next refresh. A project holds at most 10 active links, crew links and planner views together. The older view-only link, which shows the whole project as planners see it, is behind Make a planner view…. A planner view changes nothing: a row's right-click offers only Collapse (or Expand) and Copy; a column header's offers Auto-fit width, Hide column and Show all columns, which change that screen alone, and Column guide…; the chart has no right-click menu; and Tab moves on instead of indenting.
Itinerary links
An itinerary link is one person's plan across every project they are on. A company admin makes it on Roster & equipment: select the person, then in their Itinerary section use Make a link…, Preview, Replace or Turn off.
- It shows last week through eight weeks ahead, and moves forward each time it opens.
- Each day lists the person's projects, each with its address, and says
2 projects this daywhen there are two. It covers up to 25 projects, soonest work first. - A task the person is booked on for only some of its days shows on those days alone.
- A stay set on People keeps the person on a project between tasks. On a working day of the stay with no task for them anywhere, the itinerary still shows the project and its address, with
On Bridge 12 · no task. A stay reaches the itinerary at once, without a publish. - A person has one itinerary link at a time: Replace turns the old one off. Retiring the person turns it off for good.
- An itinerary never adds a day for a note alone.
- Print itinerary at the foot of the link prints it.
Roster & equipment's Itinerary links tab lists every active one.
Signed in
A Field account's Work page shows the project as it is, task notes included; a crew link shows less. The Share dialog's People section says so. The Day plan is the signed-in view of what a crew link shows.
Who can use it
Admins and Editors make crew links for projects they can edit; a Field account never does. Only a company admin makes itinerary links. Crew links and itineraries need a connected company. See Who can see and do what.
Good to know
- A link never expires unless you give it a lifetime.
- Anyone who has the link can open it, so send it only to the crew it is for, and turn it off when they no longer need it.
