Progress tracking and the Projects page

Record progress with a data date and actuals, then compare planned and reported progress across every project on the Projects page.

Progress in Ganttry is two things: the data date, the day your update is "as of", and what actually happened on each task (its actual dates, the work remaining and its percent complete). The Projects page then compares what each project should have done by today with what your team has reported.

Where to find it

  • In the editor, Tools ▾ → Update progress… opens the progress dialog for the open project.
  • Projects in the sidebar, Ctrl+J, or All projects under Recent opens the Projects page.

Statusing: monthly updates

The Update progress dialog sets the project's Data date (status as of) and records each task's actuals in one place:

  • the table lists the incomplete tasks scheduled to have started by the data date, with their scheduled dates;
  • enter Actual start, Actual finish and Remaining (in working days, such as 3 or 3d); blank fields keep their current values;
  • Use scheduled start and Use scheduled finish fill a row's dates from the schedule;
  • Apply progress update applies the whole round. One Ctrl+Z undoes all of it.

Clear stops using a data date. The dialog also has buttons for the Schedule update narrative… and the Contract-day ledger….

What the data date does to the schedule:

  • completed work stays at its actual start and finish, even on non-working days;
  • work in progress resumes no earlier than the data date, still following its predecessors;
  • work not yet started is scheduled from the data date.

The Actual Start, Actual Finish and Remaining columns (hidden until you show them) stay in step with % complete. A task started out of sequence is flagged in its tooltip. The blue data-date line draws on the Gantt and in PDFs, and an MS Project file brings its status date and actuals in with it.

Save a baseline before your first update so you can measure slippage; see Baselines and variance.

Project status

Every project has a lifecycle status: Planning, Pending, Active, On hold or Complete. Set it in Project settings… or by clicking the colored chip in the identity row. Active projects are tracked against their dates; Planning and Pending dates are treated as proposals, so they don't show as behind.

Crew and assignees on tasks

The Crew column records who a task needs, in plain words: 3, 1 foreman, 2 laborer or laborer x2. A trailing ? marks crew you can't staff yet. Crew planning turns these lines into a day-by-day matrix.

Typing in the Crew or Assigned To column suggests what you have used before (the roles and names already in the project, most used first, plus your company's people when signed in). Picking a teammate's name links their account, so the task shows up in their My tasks.

The Projects page

The Projects page is the management view across every project in the library. Its head reads Projects with a scope line such as Northline Civil · All groups · 22 projects and + New project.

A summary strip across the top shows projects in progress, the average planned and reported progress, projects behind, and tasks that need a progress update. Click a figure to filter by it. The strip always covers the active projects in scope, whatever the filter.

The action row

Filter projects (press /), Show: All ▾ (by lifecycle), Sort ▾, Behind only, Report on selected projects, Open in Master plan, Columns ▾, Print and the This week pane toggle. On a narrow window the row folds into a ⋯ button. Projects group under In progress, Starting soon, then Pending, Planning, On hold and Complete.

The table

Each row shows the project (with a Draft pill when it is a Draft, and pills such as over contract), its Lifecycle, Planned progress (the planned percent complete as of today, weighted by hours), Reported progress (the percent your team has entered, with a bar), Tasks behind, Last progress update and Open schedule.

Columns ▾ adds Scheduled dates, Remaining workdays, Tasks needing an update, Schedule checks (the share of the schedule quality checks that pass) and Baseline finish. Your pick is remembered on this device. At most 200 rows show at once; narrow the filter to see the rest.

One selection

The tick column is the page's one multi-selection. The ticks feed Open in Master plan (up to your company's master plan limit, 8 by default) and Report on selected projects (up to 15). Clicking a row selects it for the pane without opening it; double-click, Enter or Open schedule opens it. Keys: ↑ and ↓ move, Space ticks, Enter opens, w opens an Active project's Work view, / filters. Your filter, ticks, selection and scroll position come back after you open a project and return.

This week

On a wide screen the This week pane sits beside the list; on a narrow one, each row expands inline instead. Its head names the selected project with Open schedule, Work view (Active projects) and Report on this project. Under it: the site address, what crews see (for a Draft, the plan crews were last published), and the project's facts: dates, days left, group and, with a contract-day ledger, N of M contract days charged.

This week lists the tasks that should be under way that week, each with its planned percent, a state (Behind, On track, Ahead, Done or when it starts) and how fresh its percent is. A task counts as behind only when it has slipped more than half a working day, or it is past its planned finish and not done. A task under way with no percent edit in over a week is flagged as needing an update rather than silently trusted. Below that the pane totals the planned crew per working day (Planned crew & equipment once the project carries equipment) and lists the failing schedule checks. The ‹ and › arrows step between weeks.

Updating progress

Edit % complete in the grid, or right in the pane's week list. Edits to the project open in the editor are normal undoable edits. Edits to any other project save only that progress, straight to the project (a pending edit shows Saving…, a refused one Not saved and goes back). Every edit records when it was made, which is what the freshness flags read.

Reports

Crew & equipment demand, Resource assignments, the lookahead and Project progress live on the Reports page. From here, Report on selected projects and the pane's Report on this project take you there.

Who can use it

Admins and Editors record progress and use the Projects page. Field accounts report percent complete, status and remaining work from Work and My tasks; they can't open the Projects page or the Update progress dialog. See Who can see and do what.
