Licenses and billing
Who uses a license, how a company buys and manages licenses through Stripe, trials, a late payment, and what happens after a cancellation.
Each person who signs in to your company uses one license. A company's license limit is its paid licenses plus any free ones it has been given. Company admins watch the count and buy or change licenses on the Company page; Stripe handles every payment.
Where to find it
Company page › Billing & licenses. The License card shows how many licenses are in use against the limit, a billing status (Trial, Active, Past due, Canceled or No subscription), the renewal date, any licenses given free of charge, and Buy licenses… or Manage billing…. For the plans and prices, see Pricing.
Who uses a license
- Every person who isn't disabled and has at least one membership in the company or its groups uses one license — counted once, however many groups they belong to.
- A pending invitation holds a license until it is accepted or removed.
- Partner staff use no license, anywhere. See The partner program.
- Training's student accounts use licenses like anyone else. See Training.
- Adding a person to the roster on Roster & equipment never uses a license — the roster is not a list of logins.
When every license is in use, adding, inviting or re-enabling a person is refused with the reason, for example "All 5 licenses are in use (5 of 5). Disable or remove a user to free one, or add licenses to the plan." Disabling or removing someone frees their license at once.
Buying and managing licenses
- Buy licenses… (a company's first purchase) asks how many licenses and which plan — monthly or annual — then Continue to Stripe finishes payment on Stripe's secure checkout page.
- Manage billing… (once the company has a subscription) opens Stripe's billing portal in a new tab: change the number of licenses, update the card, or cancel. Changes made there come back to Ganttry by themselves.
- Card numbers never touch Ganttry — Stripe hosts every payment page.
Trials
A company bought on the Pricing page starts with a 14-day free trial: its licenses are set, and its first admin gets an invitation by email. A card is collected up front and the subscription converts to paid when the trial ends — cancel before then and you owe nothing.
A late payment
If a payment fails, everyone keeps working while it is retried. After a 14-day grace period, adding people is blocked until the payment is settled — the card says "Payment is past due — after a 14-day grace period, adding users is blocked until payment is settled." Ganttry never locks existing users out over a payment problem.
After a cancellation
You cancel from Manage billing…, and access continues through the period you have paid for. The Terms put what happens next this way: "After cancellation your schedules remain available for 60 days so you can take copies, then they are deleted, together with the plan last published to crews and every view-only and crew link to them; itinerary links end when your company's account is deleted."
- The company keeps its data for at least 60 days after the cancellation.
- Its admins get a reminder by email a week before the deletion date, telling them to export anything they need now.
- To keep the company, an admin replies to the reminder, and the deletion is put on hold. A new checkout on the website doesn't bring it back — it starts a separate, empty company.
- On the deletion date the company, its projects and its training courses are deleted; itinerary links end with it.
Read the Terms for the full wording.
Companies a partner looks after
When a partner looks after your company, the partner handles licensing: the License card says "Licensing is managed by" the partner's name, "— contact them to add licenses.", and shows no Stripe buttons. See The partner program.
Who can use it
Company admins see Billing & licenses and buy or manage licenses. Anyone who signs in uses a license, except partner staff. See Who can see and do what.
Good to know
- A company with no licenses at all can't add people until licenses are bought or granted: "This company has no licenses yet. Buy some under Company › Billing & licenses → Buy licenses…, or ask the instance admin for free ones."
- The License card also shows how much space the company's attached files take.
