Workflows › Run your company
Set up your company
A new company admin's first hour, in order: groups, the logo and default colors, calendar standards, project types and templates, and company columns.
By the end of this workflow your company's projects start the same way: in the right group, on your working calendar, from your templates, with your logo on the paper.
Who does this
A company Admin. Partner staff can do it for the companies their partner looks after. See Who can see and do what.
Before you start
- You are signed in as an Admin of the company. Company is in your sidebar, under Administration (see the Company page).
- Have your logo as an image file, your standard work weeks and holidays, and one finished project you would like new ones to start from.
Steps
- Open Company. Choose Company in the sidebar. The page shows one section at a time, as tabs: Overview, Users & access, Organization, Standards, Billing & licenses, Integrations and Activity, plus Training once you turn training on.
- Add your groups, if you need them. Groups keep projects apart, for example by region or division. In Organization, under Groups, press + Add group… and type a name. Every project lives in the company itself or in exactly one group, and who sees it follows from that (see Companies, groups and roles). A single-office company can skip groups.
- Add your logo and colors. Open Standards. Under Company defaults, press Upload logo…; the logo appears on PDF exports and the company header. Under Default colors, name and add the color tags your planners should use, such as Concrete or Sub: electrical.
- Set your work calendars. Under Calendar standards, press Add the two calendar standards to add 5×8 Mon–Fri, set as the default, and 4×10 Mon–Thu. To keep a calendar you already built, holidays and shutdowns included, open a project that has it, choose Tools ▾ → Calendars…, open the calendar and press Save as a calendar standard…. On the New calendar standard screen keep the Repeats every year entries and choose which Specific dates to keep. Manage… lets you edit, Set as default or Retire a standard. See Company calendar standards.
- Make your project templates. Under Project types and project templates, press Manage… and add the types you build, for example Bridge or Site work. Then open a finished project of that type and choose Tools ▾ → Save as a project template…. The capture screen shows what it keeps, under Kept, and what it clears for the next project, under Cleared for a fresh start. Tick the task notes worth keeping, pick the type, and tick the box to make it that type's default. See Project types and templates.
- Add company columns. Under Company columns, press Add the Supplies column for a text column crews read on site, or Manage… to define your own: a name and a type (text, checkbox, dropdown list or symbols). Planners then add them to any project from the column header's Add or show columns…, under Add from company library. See Company columns.
- Invite your people. Continue with Invite people, set roles and manage licenses.
Good to know
- Changing a standard never changes a saved project. A project copies a calendar standard, a template or a company column when it is created, and keeps its copy. Editing or retiring the standard later changes only what new projects get.
- Adopting a standard later. A project that started on another calendar can switch in Project settings, with Apply company defaults. It replaces the project's holidays and shutdowns after a confirmation that says how many tasks will move, and one Ctrl+Z undoes it.
- What a new project gets. Company settings are applied first, then the template, then anything the planner types in the New project dialog, which lists what it will apply.
- Who can do what. Editors can add a calendar standard, a project template or a company column too. Managing calendar standards and templates, such as renaming, retiring or setting a default, is for Admins only.
- Limits. Up to 50 calendar standards, 100 project types, 200 templates of up to 2,000 tasks each, 100 company columns and 20 default colors.
- Next steps. Connect other software in Integrations (see Connect other tools with webhooks and the API), and run classes from Training (see Run a training course).
